Location: Washington, DC (on-site, DC Hub)
Salary range: $70,000 to $75,000
Status: Full-time, year-round

At BBYO, we’re motivated by our mission, inspiring us to reimagine work to make it fun, flexible, and fulfilling. We are looking for a passionate IT & People Operations Support Specialist to join our team and make a difference. As an IT & People Operations Manager, you’ll play a pivotal role in keeping our staff connected and secure, managing the technology and vendors our teams rely on every day, and running our DC Hub so the people behind BBYO’s programs can focus on creating meaningful experiences for Jewish teens. Alongside your teammates, you’ll connect in a dynamic environment and create a positive impact on teens, our community, and the world.

BBYO runs on a small internal IT team and an outside managed service provider. This role is the person in the middle: the one who decides what gets handled internally, what goes to the vendor, and whether the vendor actually did it. Day to day, that means owning staff access across our systems, keeping the device fleet and license inventory current, running onboarding and off-boarding for a distributed staff, and being the internal point of contact when something breaks. It also means running the DC Hub office, because we’re a small shop and the person who knows the building is the person who knows the badge system.

This is a good fit for someone with real IT operations experience who wants ownership rather than a ticket queue, and who doesn’t mind that 40% of the job is logistics and administration. It’s a bad fit for someone who wants to be purely technical.

Roughly: 60% IT operations, 25% office and facilities, 15% people operations support.

SHAPING THE FUTURE FOR TEENS AND YOURSELF
As an IT & People Operations Manager, a typical day will include:

IT Support and Vendor Management

Serving as the internal point of contact for staff technology support across Windows and macOS, Microsoft 365, Teams, Zoom, SharePoint, Salesforce, and Airtable.

Owning the Fresh desk ticketing queue: intake, triage, routing, and deciding what our managed service provider handles and what gets resolved internally.

Managing the day-to-day relationship with our managed service provider, including scope, response times, and escalation paths, and reviewing monthly ticket metrics to spot patterns that point to a systemic fix.

Access, Onboarding, and Off-boarding

Owning the end-to-end onboarding and off-boarding process: account provisioning, license assignment, MFA enrollment, device readiness, access removal, and device recovery.

Administering Salesforce staff accounts and incident report access within least-privilege permissions.

Maintaining distribution lists, shared mailboxes, Teams membership, and reporting hierarchy as the organization changes, with quarterly audits in partnership with the Talent team and department leads.

Partnering with Talent on onboarding timelines and device returns, and delivering the new hire technology training session.

Devices and Assets

Owning the device inventory, including assignments, warranty, and replacement status, with quarterly audits to catch inactive devices that still cost money.

Running the four-year replacement cycle, from flagging upcoming replacements to getting the old device back.

Coordinating hardware purchasing and budget forecasting, overseeing vendor-run setup and repairs, and managing hotspots and loaners.

Security and Compliance

Supporting staff with MFA, password resets, and account recovery, and working with our managed service provider on compromised accounts and security alerts, including recommending a course of action to leadership and communicating with staff.

Running phishing simulations, assigning follow-up training, and partnering with Talent on annual IT and security compliance training.

Making sure devices meet encryption and security requirements and that backup coverage is current.

Reviewing and maintaining IT policies, including the annual IT Handbook cycle, and keeping them aligned with the Employee Handbook.

Licenses, Contracts, and IT Spend

Maintaining the software license and contract inventory, owning the renewal calendar, and flagging seats we pay for but don’t use.

Serving as the account contact for technology vendors, handling renewals, service issues, and account changes, and bringing contract and pricing decisions to IT leadership.

Reconciling IT invoices, allocating costs to the right departments, and managing IT purchasing cards.

DC Hub Office Operations

Running day-to-day operations of the Hub, including supplies, kitchen, mail and shipping, and storage and labeling systems, including materials moving to and from summer programs and International Convention.

Serving as the point of contact for building management and office vendors, including maintenance, janitorial, and security.

Managing building access and badges, the room booking system, and conference room reservations.

Maintaining and troubleshooting conference room A/V, printers, and workstation setup.

Supporting meetings and
